Clear, Fair and Transparent Refund Terms
ThatWare AI is committed to providing clear and predictable billing practices.
This Refund Policy explains when payments made for ThatWare AI, powered by ThatWare LLP, may be eligible for a refund, how cancellations differ from refunds, and how refund requests are reviewed.
Our objective is simple:
No hidden conditions. No unclear billing. No artificial promises.
1. Scope of This Policy
This Refund Policy applies to payments made directly for ThatWare AI products and services, including:
- Boost Plan
- Hyper-Intelligence Plan
- Bespoke Enterprise plans
- Paid add-ons
- Additional website allowances
- Paid platform upgrades
- Other paid ThatWare AI functionality where this Policy is expressly incorporated
The Freemium Plan does not involve a subscription fee and therefore does not require a refund.
2. Standard Paid Plans
ThatWare AI currently offers standard paid plans such as:
Boost
Designed for businesses that require:
- Up to 2 websites
- ai.txt
- llms.txt
Hyper-Intelligence
Designed for businesses that require:
- Up to 3 websites
- ai.txt
- llms.txt
- ai-manifesto.json
- vector-feed.xml
- semantic-sitemap.xml
Current pricing and inclusions displayed at checkout take precedence over examples shown in this Policy.
3. Seven-Day Refund Window for Unused Plans
Recommended commercial rule
You may request a full refund within 7 calendar days of the original purchase if the paid plan has not been materially used.
A plan will generally be considered unused when:
- No paid AI asset has been generated
- No generated paid asset has been downloaded or deployed
- No substantial paid website analysis has been completed
- No paid report has been exported
- No additional paid website capacity has been consumed
- No material paid platform functionality has been used
If these conditions are satisfied, the payment may be eligible for a full refund.
Why this matters
This gives customers a reasonable opportunity to correct an accidental or unsuitable purchase while protecting the platform from refunds after digital services and computational resources have already been consumed.
4. When a Standard Subscription Becomes Non-Refundable
Because ThatWare AI provides digital services and may generate personalized assets immediately, payments generally become non-refundable once substantial paid functionality has been used.
Examples include:
AI Asset Generation
If you generate paid-plan assets such as:
- llms.txt
- ai-manifesto.json
- vector-feed.xml
- semantic-sitemap.xml
the relevant subscription may no longer qualify for the standard unused-plan refund.
Paid Analysis
A refund may no longer be available once substantial paid analysis, scoring, reporting, or processing has been completed.
Downloads or Deployment
Downloading, exporting, publishing, or deploying paid generated assets constitutes use of the service.
Website Allowance Usage
Adding and processing websites against your paid plan allowance may constitute material use.
5. Refunds for Duplicate Charges
If you are accidentally charged more than once for the same transaction, contact us.
After verification, duplicate charges will be refunded.
Please provide:
- Account email
- Order ID
- Transaction or payment ID
- Amount charged
- Date of payment
- Details of the duplicate transaction
6. Incorrect Billing
If ThatWare AI charges you an amount different from the amount displayed and confirmed at checkout due to a billing error, contact us promptly.
If verified, we may:
- Correct the transaction
- Refund the excess amount
- Reverse an incorrect charge
- Apply another appropriate billing adjustment
7. Unauthorized Transactions
If you believe a payment was made without your authorization, notify:
- Your payment provider or financial institution, and
- ThatWare AI support
as soon as possible.
We may request reasonable information to investigate the transaction.
Unauthorized-payment disputes may also be subject to the rules and processes of the applicable bank, card network, Razorpay, or other payment provider.
8. Technical Failure
You may request a review when a verified technical problem prevents you from accessing a paid feature that forms a material part of your subscription.
Before a refund is considered, our support team may attempt to:
- Diagnose the problem
- Restore functionality
- Reprocess the affected operation
- Correct an account issue
- Provide an alternative technical solution
A temporary interruption that is resolved within a reasonable period does not automatically qualify for a refund.
If ThatWare AI cannot provide the material paid functionality because of a persistent platform-side failure, we may issue:
- A full refund
- A partial refund
- Account credit
- An extension of service
depending on the circumstances and applicable law.
9. AI Results Are Not Grounds for Refunds
ThatWare AI helps improve technical readiness, machine readability, entity clarity, semantic structure, and AI visibility measurement.
However, external platforms independently determine whether they:
- Crawl a website
- Retrieve content
- Cite a source
- Mention a brand
- Recommend a business
- Rank a page
- Display a generated answer
A refund will therefore not normally be issued simply because:
- An AI platform did not cite your website
- Your brand was not mentioned
- A ranking did not improve
- Traffic did not increase
- A particular LLM did not recognize a generated file
- An AI-readiness score changed
- A competitor remained more visible
Core Principle
ThatWare AI provides infrastructure, analysis, and readiness tools. It does not sell guaranteed rankings, citations, mentions, or recommendations.
10. Changes in Scores or Reports
AVM, VEM, GEO Readiness, Entity Score, and other platform metrics may change over time.
Changes may result from:
- Website updates
- New data
- Methodology improvements
- Platform updates
- Changes in external AI systems
- Changes in search environments
A change in a score, methodology, or report does not by itself create refund eligibility.
11. Cancellation Is Different From a Refund
Canceling a subscription and requesting a refund are separate actions.
Cancellation
Stops future renewals where recurring billing applies.
Refund
Returns all or part of a payment that has already been processed.
Canceling your subscription does not automatically refund previous payments.
12. End-of-Period Cancellation
Where a subscription is recurring, canceling it will normally stop the next renewal.
Unless otherwise stated, you may continue using the paid plan until the end of the period already purchased.
ThatWare’s technical research similarly recommends that end-of-period cancellation preserve paid access until expiry and that refunds be recorded separately from cancellation. Thatware
13. No Automatic Deletion After Cancellation
Cancelling a subscription does not necessarily result in immediate deletion of:
- Reports
- Generated assets
- Website configurations
- Account information
- Billing records
Data handling after cancellation is governed by the ThatWare AI Privacy Policy and applicable retention requirements.
14. Subscription Renewals
Where recurring billing is enabled and clearly disclosed, payments already processed for a renewal are generally subject to the same refund rules as the original subscription.
Recommended rule
A renewal charge may be reviewed for refund when:
- The request is submitted within 7 calendar days of renewal, and
- The renewed subscription has not been materially used during the renewed period
If substantial paid functionality has already been consumed, the renewed payment may be non-refundable.
15. Plan Upgrades
When upgrading from one plan to another, any:
- Proration
- Credits
- Additional charges
- Effective dates
should be shown before the upgrade is confirmed.
Refund eligibility for an upgrade depends on whether the upgraded features have already been materially used.
16. Plan Downgrades
Downgrading a plan generally affects future subscription periods.
A downgrade does not normally create a refund for unused time in an existing paid billing period unless:
- The platform expressly offers proration, or
- Applicable law requires otherwise
Users should retain their existing paid entitlements until the current billing period expires unless otherwise stated.
17. Freemium Plan
The Freemium Plan is provided at USD 0.
Because no subscription fee is charged:
- There is no subscription payment to refund
- Users may stop using the Freemium Plan at any time
- Account and data deletion are governed separately by the Privacy Policy and platform account controls
18. Bespoke Enterprise Plans
Bespoke Enterprise engagements may include:
- Custom website allowances
- Technical implementation
- Custom asset development
- Enterprise onboarding
- Consulting
- Integrations
- Custom architecture
- Dedicated support
Refunds for Bespoke Enterprise services are governed primarily by the applicable:
- Proposal
- Order form
- Statement of work
- Enterprise agreement
If those documents contain different refund terms, the specific written agreement will control.
This is consistent with ThatWare’s existing service model, where refunds can depend on the relevant project contract. Thatware
19. Custom Work and Implementation Fees
Unless otherwise agreed in writing, fees associated with completed custom work may be non-refundable once work has begun.
This can include:
- Technical implementation
- Custom integrations
- Custom development
- Manual configuration
- Consulting
- Research
- Bespoke asset preparation
Any non-refundable amount should be clearly identified before the work begins.
20. Account Credit
In some cases, we may offer platform credit instead of a cash refund.
Credit may be appropriate for:
- Short-term service disruptions
- Minor billing issues
- Platform interruptions
- Goodwill adjustments
Account credits are discretionary unless otherwise required by law or contract.
Any expiry or usage restrictions should be communicated when the credit is issued.
21. Partial Refunds
Partial refunds may be considered where appropriate, including:
- A verified partial service failure
- Incorrect billing
- A custom agreement
- A legally required adjustment
Partial refunds are not automatically available for unused time after voluntary cancellation.
22. Taxes
Refund treatment for applicable taxes may depend on:
- Local tax rules
- Invoice status
- Payment-provider processing
- Jurisdiction
- Applicable law
Where legally permitted, refundable taxes associated with an approved transaction will be handled together with the refund.
23. Currency Conversion and Bank Charges
Payments may involve:
- Currency conversion
- Bank fees
- Foreign exchange charges
- Card-network charges
- Payment-provider charges
ThatWare AI generally cannot control fees imposed independently by banks, card providers, or financial institutions.
The amount credited to your account may therefore differ from the original payment where external currency conversion or banking charges apply.
24. Promotional Discounts
Refunds for purchases made using:
- Coupons
- Promotional offers
- Discount codes
- Special pricing
will generally be based on the actual amount paid, not the standard undiscounted price.
Promotional value itself is not refundable as cash.
25. Chargebacks
We encourage customers to contact ThatWare AI before initiating a payment dispute so we can attempt to resolve legitimate billing concerns.
Fraudulent or abusive chargebacks may result in:
- Account restrictions
- Suspension
- Termination
- Recovery of unpaid amounts where legally permitted
Nothing in this section limits legitimate rights to dispute unauthorized or incorrect charges.
26. How to Request a Refund
To request a refund, contact ThatWare AI with:
- Your full name
- Account email
- Plan name
- Order ID
- Payment ID
- Transaction date
- Reason for the request
- Relevant screenshots or supporting information, if applicable
Recommended refund email
or another dedicated billing address approved before launch.
Until then, the existing ThatWare contact channel is publicly listed as info@thatware.co. Thatware
27. Refund Review
Submitting a request does not automatically guarantee approval.
We may review:
- Purchase date
- Subscription type
- Platform usage
- Assets generated
- Downloads
- Website processing activity
- Account history
- Billing records
- Technical issues
- Applicable contractual terms
- Applicable law
We may request additional information where reasonably necessary.
28. Processing Approved Refunds
Once a refund is approved, it will generally be returned through the original payment method where possible.
Actual processing and posting times can depend on:
- Razorpay
- Card networks
- Banks
- Payment methods
- Jurisdiction
Users should not be promised a specific bank posting time unless it has been confirmed with the production payment provider.
29. Refund Abuse
ThatWare AI may refuse refund requests where there is reasonable evidence of abuse, including:
- Repeatedly purchasing and refunding after generating assets
- Creating multiple accounts to exploit refund eligibility
- Downloading paid outputs before requesting an unused-plan refund
- Fraudulent payment disputes
- Circumvention of subscription limitations
This does not limit statutory consumer rights.
30. Statutory Rights
Nothing in this Refund Policy removes rights that cannot lawfully be waived.
Where consumer-protection or other applicable laws provide greater refund, cancellation, or cooling-off rights, those legal requirements will apply.
31. Changes to This Policy
We may update this Refund Policy as:
- Products change
- Subscription structures change
- Payment systems change
- Applicable laws change
- New functionality is introduced
The Last Updated date will identify the latest version.
Material changes affecting active subscribers will be communicated where required.
